ESSENTIAL FUNCTIONS



  • Manage all NJ/PA move management activities.

  • Ensure move processes are managed in accordance with the client?s and JLL?s policies and procedures and ethical business practices.

  • Review occupancy change requests for space/moves (offices, new hires, labs, assignment completes, equipment, virtual, as well as site-to-site).

  • Identify missing and/or inaccurate data and obtain clarification from requestors.

  • Refer requests requiring space modifications and/or other considerations to the responsible space planner.

  • Review requests for touchdown and assignment complete moves and schedule accordingly.

  • ???Provide essential office and in-field support for all Move Management activities in coordination with occupancy planners, MAC coordinators, and move desk coordinators to include:

    • Generating and distributing relevant move lists to all service providers (telecommunications, field move coordinator, desktop support, building landlords)

    • Communicating any changes in move activity/move list to appropriate OPMM team and service providers

    • Addressing all client issues throughout the move process. Follow up with clients by generating post move surveys.? Engage service providers to address post move issues received through surveys.




  • Manage all communications with customers, from initial request through post-transaction feedback, and disseminate to the appropriate parties for action and/or information.

  • Initiate/attend meetings with team members and service providers as required to review move schedules and tasks associated with moves.

  • Ensure all move management activities are performed and completed in a manner consistent with documented processes.

  • Participate in planning meetings hosted by the client, Occupancy Planning and/or other key stakeholders.

  • Adhere to move management schedules and budgets.

  • Execute completed occupancy changes in the move management system (Centerstone).

  • Recommend changes and improvements to existing move management practices and processes to maintain or improve the move process while reducing operating costs.

  • Proactively ensure data accuracy for all occupancy records that have been updated by completion of the moves.

  • Follow ?best practices? throughout the move process.

  • Research, confirm and process all assignment completes for ?inactive? and ?vacated from position? employees/contractors as presented in monthly discrepancy reports.

  • Process NJ/PA Signage for weekly moves.? Perform Hyper-care for all Project Moves ensuring satisfactory completion of moves.? Manage and complete building cleanout activities when required.? On site presence is required for these activities.


EDUCATION AND EXPERIENCE



  • Bachelor?s degree in Project Management, Construction Management or Strategic Planning preferred or a minimum of 5 years of experience in Occupancy Planning and Move Management or Facilities Management activities in a Corporate Real Estate Environment.

  • Minimum 2 years as Move Manager or related experience in the planning and relocation of office/laboratories preferred.

  • Background and experience in Project Management, Construction Management or Strategic Planning preferred.

  • Previous experience in effective supervision of service providers is required.


KNOWLEDGE, SKILLS AND ABILITIES



  • Must demonstrate proficiency in the use of all related technology systems supporting move management at the NJ/PA/BMB sites.



  • Must demonstrate good collaboration, organizational and communication skills.

  • Must have the ability to manage multiple priorities and quickly respond to changing priorities.

  • Must have excellent verbal and written communication skills.

  • Must be detailed oriented.

  • Must have the capacity to deal with ambiguity and address complex problems.

  • Must have the ability to manage all aspects of move management weekly and project moves.

  • Must be a self-motivated individual who can work independently as well as a team environment.

  • Must exhibit strong customer service orientation and interact comfortably with a full range of JLL and client-based decision makers (direct supervisors to senior management).

  • Proficient in the use of Microsoft Word, Excel and Outlook, Move Management systems and required client systems (IWMS, Move Portal etc.) with the ability to quickly learn and effectively utilize various facility management software tools.


TRAVEL



  • Required to be on your responsible site/sites a minimum of (1) day or more per week, as required, to appropriately service the client.? In addition, the individual is expected to be in the office for special projects or when the support of the client business dictates a presence onsite.

  • Travel as needed between NJ/PA sites.?? Travel to other sites may be required for particular projects.

Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
