Rahway, NJ Rahway, NJ Full-time Full-time $80,320 - $126,500 a year $80,320 - $126,500 a year 5 days ago 5 days ago 5 days ago Job Description As a Global Commercial & Digital, Business Operations Specialist you will report to leaders within Global Commercial & Digital and Business Operations Unit to support a variety of operational processes and workstreams.
Main Responsibilities & Primary Activities:
Strategic Projects & Workstream Support:
Assist departmental leaders with projects and workstream operations, updates, communications, and presentations Lead special projects on behalf of departmental leaders Serve as liaison with staff and departmental leaders in support of project updates, scoping, proposals, and planning Serve as a subject-matter expert on departmental administration, handling inquiries, developing action plans, and assisting with preparation and dissemination of information Manage multiple collaborations across calendars, scheduling team meetings and preparing pre and post meeting materials Provide confidential support when needed by handling a variety of requests, including business and HR related correspondence.
Discretion and professionalism are a must.
Develop and build on relationships with cross-functional team members responsible existing operations, and help define new ways of working Coordination & Logistics Support:
Support departmental leaders with daily operations, and perform tasks such as managing calendars, generating correspondence, maintaining collaboration, departmental files, planning and coordinating annual corporate meetings, scheduling facilities, travel planning and expense management.
Support the team by managing meetings & congresses organized by our company or by 3rd Parties.
Ensure all internal processes are made accurately and on time, with all the necessary compliance requirements.
Support meeting arrangements and logistics by scheduling conference rooms, order AV equipment, catering services, travels & accommodations or even set-up a virtual congress by working with several suppliers to ensure a high-quality meeting service.
Expense management and financial business support:
Responsible to ensure adequate support to financial planning and tracking on all activities, within allocated budget and compliance regulations.
Promote and influence towards an accurate budget monitoring, in line with forecasts.
Issue purchase orders and do payments requests regarding our contracted services.
Manage invoice accounting, close purchase orders and work directly with suppliers ensuring good communication between both parties.
Issue contracts and ensure the internal compliance process associated to each contract.
Monitoring all credit card payments and submit those expenses within the deadlines to avoid delinquency fees.
Support onboarding of new employees Manage vendors by onboarding new ones or updating information details.
Qualifications and Skills:
Bachelor's degree preferred; minimum High School diploma required Strong written and verbal communication skills and ability to influence others Strong attention to detail with ability to summarize outcomes and propose solutions Ability to handle and prioritize simultaneous assignments for more than one stakeholder at a time Advanced computer skills such as MS Outlook, Word, Excel, Power Point, Teams.
Experience processing Expense Reports, Purchase Orders, Payment Requests, preferably with SAP.

Hybrid Work Model Effective September 5,2023 our U.

Hybrid work model will be as follows:
1.
Three total days on site per week:
Tuesday and Wednesday - plus one additional day of choice based on what works best for organizations and/or teams.
2.
Fridays will formally be a remote-working day unless business critical tasks require onsite presence.
Under New York City, Colorado State, Washington State, and California State law, the Company is required to provide a reasonable estimate of the salary range for this job.
Final determinations with respect to salary will take into account a number of factors, which may include, but not be limited to the primary work location and the chosen candidate's relevant skills, experience, and education.
Expected salary range:
$80,320.
00 - $126,500.
